QC & Consolidation from China: The Project Inspection Checklist

On a project material order, quality control is not a formality at the end — it's the step that decides whether your finishes arrive right or your fit-out slips. Consolidation is the step that decides whether you pay for one shipment or five. Handled together, they are where a China-sourced package earns its cost advantage. Here's the working checklist.

Why QC comes before payment, not after

The economics are simple: catching a wrong finish or dimension at the factory costs a re-make; catching it at your site costs the project. That's why experienced buyers hold the balance payment to a QC gate and require inspection reports before goods leave China.

The inspection checklist

Before production

  • Approved control samples for every finish (color, tone, sheen, texture).
  • A pre-production sample for key casegoods/joinery.
  • A written spec matrix each item is checked against.

In-line (during production)

  • Early-run check on the first batch to catch systemic issues before the whole order is made.
  • Verify materials and hardware match the approved sample, not a substitute.

Pre-shipment (before it leaves the factory)

  • Random-sample inspection against the approved samples and spec.
  • Dimensions, finish, function (drawers, hinges, switches), and quantity.
  • Packaging and labelling suitable for sea freight and your market.
  • Photo/video report documenting findings.

Payment control

  • Release the balance only after the pre-shipment report is accepted.

Consolidation: one project, one shipment

Most projects draw from several factories. Consolidation brings them into coordinated FCL/LCL loads:

  • Lower freight per unit versus multiple small shipments.
  • One set of clearance documents for your broker.
  • One arrival to schedule your installation crews around.
  • A single packing manifest you can reconcile against your spec.

Consolidation also creates a natural final-check point: as goods arrive at the consolidation warehouse, quantities and cartons are verified against the manifest before loading.

Documentation that travels with the goods

  • Commercial invoice and detailed packing list.
  • Certificate/Declaration of Origin where your market's duty treatment requires it.
  • Any product certifications your destination mandates (arranged where required).
  • Fumigation/treatment certificates for timber and packaging where applicable.
